Job Description

We are looking for an experienced and detail-oriented Admin Specialist to join our team in Riyadh, Saudi Arabia. The ideal candidate will have a minimum of 5 years of experience in administrative support roles and possess excellent organizational and communication skills. As an Admin Specialist, you will be responsible for managing various administrative tasks, ensuring smooth operations, and providing support to the team.

Responsibilities:

  1. Company registration on the portal of all (governmental- semi-governmental – private sectors) and document submission.
  2. Oracle data entry experience
  3. Create a project code.
  4. Initiate client order acknowledgment.
  5. Create Oracle sales orders.
  6. Manage and organize office operations and procedures, including filing systems, supply inventory, and travel arrangements.
  7. Coordinate and schedule meetings, appointments, and events, ensuring all necessary materials and resources are available.
  8. Handle incoming and outgoing correspondence, including emails, phone calls, and mail, and respond to inquiries in a timely and professional manner.
  9. Prepare and edit documents, reports, and presentations, ensuring accuracy and adherence to company guidelines.
  10. Assist in the preparation and coordination of internal and external meetings, including taking minutes and distributing meeting agendas and materials.
  11. Collaborate with various departments to gather information and compile reports, ensuring accuracy and completeness.
  12. Support the HR department in various tasks, such as maintaining employee records, coordinating recruitment processes, and assisting with onboarding and offboarding.
  13. Assist in the planning and execution of company events and initiatives, including employee engagement activities and corporate social responsibility programs.
  14. Manage office equipment and supplies, including ordering, restocking, and maintaining inventory.
  15. Handle confidential and sensitive information with discretion and maintain a high level of professionalism at all times.
  16. Follow up on all the approval cycle processes with all stakeholders before releasing POs to the supplier/contractor.

Preferred Candidate:

  1. Minimum of 5 years of experience in administrative support roles.
  2. Bachelor’s degree in Business Administration or a related field.
  3. Excellent organizational and time management skills.
  4. Strong attention to detail and ability to multitask effectively.
  5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Excellent communication and interpersonal skills.
  7. Ability to work independently and as part of a team.
  8. Strong problem-solving and decision-making abilities.
  9. Knowledge of office equipment and procedures.
  10. Ability to handle confidential and sensitive information with discretion.
  11. The candidate must be a residence in Saudi Arabia
